1. Scope and accountability
This Privacy Policy applies to the Site Harbour Partner Program website, partner applications, the Partner Portal, referral links and codes, referral and lead records, commission and payout records, partner support, and related communications.
Site Harbour is responsible for personal information under its control. We designate an accountable contact to oversee privacy practices and respond to privacy questions or requests.
2. Information we collect
Depending on how you interact with the Partner Program, we may collect:
- Application and account information: name, email address, country, optional business name, phone number, website or social profile, promotional method, preferred partner code, login credentials, account status, and verification records.
- Referral and tracking information: partner code, referral link, campaign information, referral dates, destination pages, cookie or visitor identifiers, summarized click activity, device and browser information, approximate location derived from technical data, and anti-fraud signals.
- Lead and customer-related information: information supplied by a referred business or recorded to administer attribution, such as a lead reference number, requested service, lead status, quote status, sale status, and the partner connected to the referral. Partners receive summarized information and do not receive unnecessary personal details about referred businesses.
- Commission and payout information: commission amount, currency, status, adjustments, payout history, preferred payout method, payment destination information, and tax information where legally required.
- Communications: messages sent to Site Harbour, support requests, application notes, approval decisions, and records of notices or program communications.
- Website information: server logs, IP address, pages visited, timestamps, security events, and information collected through necessary cookies or similar technologies.
Please do not submit sensitive personal information unless Site Harbour specifically requests it for a legitimate and identified purpose.
3. How we use information
We may use personal information to:
- review, verify, approve, reject, suspend, or close partner applications and accounts;
- create and secure Partner Portal accounts;
- generate, administer, and approve partner codes, links, and aliases;
- attribute referrals, leads, quotes, sales, and commissions;
- calculate, review, approve, reverse, and pay commissions;
- detect duplicate, invalid, automated, misleading, or fraudulent activity;
- provide support and communicate about referrals, payments, program changes, and account activity;
- maintain financial, tax, legal, audit, and security records;
- improve the Partner Program, website, portal, resources, and services;
- enforce the Partner Program Terms and protect Site Harbour, partners, customers, and the public; and
- comply with applicable laws and lawful requests.
6. Retention
We retain personal information only as long as reasonably necessary for the identified purposes, including account administration, referral attribution, commission calculations, dispute resolution, fraud prevention, tax and accounting obligations, legal compliance, and enforcement of agreements.
Some records may remain after an account is closed where retention is required or reasonably necessary. When information is no longer required, it is deleted, anonymized, or securely disposed of in accordance with Site Harbour practices.
7. Safeguards and security
Site Harbour uses administrative, technical, and physical safeguards appropriate to the sensitivity and amount of information involved. These may include access controls, password hashing, encrypted connections, logging, backups, restricted administrative access, and review of suspicious activity.
No online system can be guaranteed completely secure. Partners are responsible for keeping login credentials confidential, using a unique password, and promptly reporting suspected unauthorized access.
8. Access, correction, withdrawal, and account choices
Subject to applicable law, you may request access to personal information Site Harbour holds about you and request correction of inaccurate information. We may need to verify your identity before processing a request.
You may withdraw consent where processing is based on consent, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may prevent Site Harbour from continuing to provide some Partner Program functions.
You may update certain account information in the Partner Portal or contact us to request assistance. You may also request closure of your partner account, although Site Harbour may retain records as described above.
9. Service providers and processing locations
Site Harbour may use service providers located in Canada, the United States, or other jurisdictions. Personal information processed outside your province or country may be subject to the laws and lawful access requirements of that jurisdiction.
We require service providers to use information only for authorized purposes and to protect it using appropriate safeguards.
10. Changes to this policy
We may update this Privacy Policy to reflect changes in the Partner Program, technology, service providers, or legal requirements. The effective date at the top of the policy will be revised when changes are posted. Material changes may also be communicated through the Partner Portal or by email.
